Fenland Schools Federation is seeking to appoint a highly organised, professional and proactive Office Assistant to join our friendly and dedicated team.
This varied role combines administration, communication, and organisational support. The successful candidate will play an important part in the smooth running of the school office, whilst also providing direct administrative support to the Executive Headteacher. Responsibilities will include managing the Headteacher's diary, supporting school communications, maintaining the school website and social media platforms, and undertaking a range of administrative duties.
This is an excellent opportunity for someone with strong organisational skills, excellent attention to detail and confidence in using a range of digital systems and communication platforms.
Main Duties
Executive Headteacher Support
Manage and coordinate the Executive Headteacher's diary, appointments and meeting schedules.
Provide administrative support for meetings, including preparation of agendas, papers and minutes where required.
Assist with correspondence on behalf of the Executive Headteacher.
Support communication between the Executive Headteacher, governors, staff, parents and external agencies.
Communications and Marketing
Maintain and update the school website, ensuring content remains accurate, relevant and compliant.
Create and publish content for the school's social media channels, celebrating achievements, promoting events and sharing key messages with the community.
Assist in the production of newsletters, promotional materials and parent communications.
Support the Federation's positive profile within the local community.
Office Administration
Undertake general administration duties including word processing, spreadsheets, photocopying, filing, printing and data entry.
Provide reception duties including welcoming visitors and dealing with enquiries from parents, staff, pupils and governors, both in person and by telephone.
Process incoming and outgoing post and emails.
Provide first aid support where required (training can be provided).
Maintain confidential records and ensure compliance with data protection requirements.
Support staffing administration, including maintaining personnel records and undertaking safer recruitment and safeguarding checks.
Assist with maintaining pupil data and management information systems, including admissions, leavers, attendance and registers using Arbor.
Support purchase order processing and invoice administration.
The Ideal Candidate Will:
Be an organised, efficient and confident administrator.
Have excellent communication and interpersonal skills.
Be able to work independently and manage competing priorities.
Have excellent IT skills, particularly Microsoft Office applications, including Word, Excel and Outlook.
Have experience of updating websites and social media platforms, or be willing to develop these skills.
Demonstrate strong attention to detail and accuracy.
Understand and maintain confidentiality at all times.
Be able to build positive professional relationships with staff, parents, governors and external agencies.
Have a caring and child-centred approach when interacting with pupils.
Be committed to promoting and upholding the values and ethos of the Federation.
Ideally be able to provide occasional additional cover to support the school during periods of staff absence.
The postholder will need to be able to communicate effectively in English, both orally and in writing, to undertake the requirements of the role.
