Position
We are seeking a proactive and well-organised Office Co-Ordinator to join our team. This varied role provides essential support to ensure the smooth and efficient running of our offices and meeting spaces, while also assisting with day-to-day financial administration.
You will take responsibility for maintaining a safe, clean, and well-presented working environment, coordinating maintenance issues, and ensuring all rooms and equipment meet organisational standards. The role also involves supporting finance processes such as invoicing, purchase orders, and budget tracking.
Key Responsibilities
- Support basic finance administration, including raising and processing purchase orders, checking and coding invoices, maintaining finance records, and assisting with monthly expenditure reports.
- Carry out regular and systematic checks of offices and meeting rooms, ensuring all areas are clean, tidy, and set up to the required standard.
- Ensure all equipment, furniture, and fixtures are kept clean, well maintained, and in safe working order.
- Report and log all maintenance faults promptly to the Facilities Manager, following the correct reporting procedures.
- Lead on fire drills and act as the designated point of contact for first aid and health & safety requirements.
- Manage stock levels of office supplies and equipment, placing orders as needed.
- Liaise with contractors, suppliers, and internal teams to ensure smooth day-to-day operations.
Requirements

You will be an organised and motivated individual with a keen eye for detail and a proactive approach to problem-solving. You’ll enjoy working in a hands-on, varied role where no two days are the same.
Essential skills and experience:
- Previous experience in a finance, administrative, or office support role.
- Strong organisational and communication skills.
- Basic understanding of finance processes such as invoicing, purchase orders, and budget tracking.
- Good IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to prioritise workloads and work effectively both independently and as part of a team.
